Enabling Quick View for your Practice
We’ve listened to your feedback and we’re happy to announce the progressive rollout of Phoenix Quick View for practices - an enhancement to the existing Phoenix portal which provides you a single page where you can view and manage your nominee’s (clinician) clients and rebook, complete appointments, mark as no show and more with simplified and streamlined processes.
Quick View is enabled when a practice indicates that they are happy to proceed and involves some minor changes to the way you access the portal. Read this article for more information and the process.
Features of Quick View
With Quick View enabled in the Phoenix portal for your practice, you’ll benefit from:
View your appointments listed in one location
Quick action buttons from a single page to rebook, commence an appointment, mark as no show, cancel and more
Rebooking a client process is streamlined and focused - rebooking now takes 2-3 minutes compared to 5-10 minutes before
Completing an appointment has been streamlined and now takes approximately 1-2 minutes to complete an appointment
Request extra sessions with one click from the Quick View page
Changes to the way you use Quick View
With Quick View enabled for your practice, the way you access Quick View changes.
Previously, you would login with a single administrator account to manage all your nominees (clinicians) of the practice.
With Quick View, you now have seperate logins for each nominee of your practice.
Work Delegation: Who completes the work in Quick View?
With the Current Phoenix portal with a single admin account, only your admin can access the portal and manage their nominee’s clients and appointments.
With Quick View, your practice can choose to continue having the admin or support person completing this work, with the change being they have use the seperate logins for each clinician (log in to one clinician then logout to switch to another clinician’s profile) or, your practice can now delegate this work to your nominee by providing the nominee their login details.
How your practice chooses to complete the work in Quick View (your Practice admin/support person or delegating to your nominee) is up to your practice and management.
If you are considering delegating work to your nominee, keep in mind that Phoenix pays the practice for 1hr of work for each appointment; this is made up of 50 minutes appointment time + 10 minutes of admin time. With this in mind, and the simplicity + time saving of using Quick View your practice may choose to delegate the work to your clinician.
Delegating work to your clinician also ensures that when completing an appointment, only the nominee (clinician) is entering client outcomes data, which further improves client data confidentiality and security.
Logging into Phoenix and Notifications
Usernames:
With each nominee of your practice having seperate logins, Converge will provide the username for each clinician. The username is numbered and a converge email address, and will look like this: 12345678@convergeintl.com.au.
Notifications from Phoenix:
All notifications for Phoenix will be routed to an email address based on your preferences. Here are the types of notifications you’ll receive:
Rebooking’s
Cancellations
Referrals
End of month invoices (RCTI’s) from Converge
Verification codes when logging in or resetting password
You can choose from one of these notification options:
Option 1:
All the above listed notifications will be routed to your practice admin email address or shared email address. This means your admin or support person with access to the nominated email address will need to relay any new booking emails, cancellation notifications and referrals etc to the nominee (clinician).
Option 2:
All of the above listed notifications will be routed directly to your nominee’s (clinician’s) nominated email address (their work email). This means your clinician will receive all the listed notifications, including end of month invoices (RCTI’s) from Converge.
Additionally, verification codes for when you login to the portal or reset your login password can be separately sent by SMS (if you practice has a dedicated mobile to receive these texts or if your nominee (clinician) has a mobile to receive these verification codes). Indicate to us during the setup of Quick View if you’d like verification codes to be sent to a nominated mobile number.
What is the process to enable Quick View for my Practice?
Your practice admin and/or manager will need to review the above and consider which work delegation option they want to proceed with (see “Work Delegation: Who completes the work in Quick View?” section above for more info)
Once your practice has considered the above and chosen a work delegation option, you can contact us using the form linked below. We’ll then assist you with schedule a 10 minute call to demonstrate Quick View and answer any questions, or if you want to activate it straight way, we’ll schedule a 20 minute call to activate and then provide training.
