Where individual activities have been undertaken as part of the Engagement, select ‘+Add’ and choose ‘One-on-One’ from the drop-down menu.
The user will then be navigated to a pop-up screen where the details/case notes of the individual (one-on-one) activity can be completed.
Complete all fields:
Session Details
Select Client: type in the name of the client if this is an individual you have seen for prior Engagements or in other Customer Programs. Where relevant, the client’s details will then populate relevant fields
Or, enter new client details
First and Last Name: this is a mandatory field and MUST be completed in full as this function allows the linking of prior/future case notes for this individual. All clinicians are required to obtain accurate first and last name details of each client
Email
Country code: automatically populates with AU/AUS code
Phone number: this is mandatory field and is important as this function allows the linking of prior/future case notes for this individual. All clinicians are required to obtain accurate phone number details for each client
Date of Birth
Employee ID: where relevant
Session Date: type the date or use the calendar icon
Session Duration: select the duration of the one-on-one session from the drop-down list
Description: provide a concise description of the group session
Client Checklist
Has the privacy statement been provided: choose Yes/No
Has the introductory checklist been completed: choose Yes/No
Has consent been provided: choose Yes/No
Case Notes
What issue did the client present with:
o Issue Category: select the issue category from the drop-down list
o Issue: select the issue from the drop-down list
Was a mental health risk assessment completed: choose Yes/No
Describe the presenting issues and any other case notes
What were the types of interventions, techniques and strategies utilised?
Did you refer the client to EAP or any other services: choose ‘Referred to EAP’ / Referred to Other / No Referral
Select ‘Complete’ when all notes are completed, or ‘save & close’ to allow a draft to be saved where you can return at a later time to complete your notes.
There is a cancel option also if you wish to cancel this entry.
A separate one-on-one activity entry must be completed for every individual session undertaken under each Engagement
Use the ‘historical notes’ tab to view prior case notes, where available, for each individual
Each individual ‘one-on-one’ entry will be added to the overall Engagement activities.
Select ‘edit’ to make changes to this activity entry, or ‘remove’ to delete information
NOTE – from the one-on-one case note capture pop up screen, you can book a follow-up session with the client. See Booking an initial follow-up service (for individuals)
Activities will be flagged as ‘completed’ or ‘in progress’ for a quick view of the status of the case, reminding the user to complete any ‘in progress’ activities before conclusion.
