Online Booking Portal Guide for Consultants

The Online Booking portal allows customers (your clients) to view their appointments, rebook and amend appointments (including re-scheduling and cancelling) from one place.

Moving forward, you can also ask the customer to rebook themselves using the Online Booking portal which will save you time. This guide will assist you with positioning statements for recommending the Online Booking Portal, how it works and where to direct customers to when they need help.

Customer asks “Can we schedule the next appointment”?

You can answer: You can rebook the next session on the Converge website (convergeinternational.com.au/booking) and manage all the appointments there

Customer asks “I need to change the upcoming appointment date/time”

You can answer: You can do this via the Online Booking portal or Converge App where you can amend appointments and rebook next ones.

Customer asks “How do I register for Online Booking?”

You can answer: If you haven’t yet registered for online booking, I can rebook the next session now. Before our next session, check one of the confirmation booking emails from Converge with a link to register and the Organisation code you need.

Customer asks “I’m having issues with the Online Booking portal or App“

You can answer: I can rebook the next session for you now. For any help with the Online Booking Portal / App, please contact the support team at convergeinternational.com.au/support and they’ll help you out.


Frequently asked questions

How does Online Booking portal help me?

The Online Booking Portal can help free up time for you to complete appointments in the Phoenix portal, by asking the customer (your client) to rebook themselves at a time they find convenient.

It also means if the customer needs to rebook, amend or cancel an appointment, they can do it themselves via the Online Booking Portal or App.

How is the Online Booking portal accessed?

The Online Booking portal is accessed via the following URL: convergeinternational.com.au/booking

The Converge International app can also be downloaded from the Apple App Store and Google Play Store (Note: some Organisations only allow employees to access via the website).

Who can access the Online Booking portal?

The Online Booking Portal can be accessed by any employee of an Organisation Converge serves as their EAP provider. For most Organisations, it’s also available for immediate family members (but not minors).

How does a customer register for online booking portal?

The customer can register themselves using the Organisation code provided by their workplace. The code may also be available via their HR/People/Wellbeing intranet.

The Organisation code required for registering is also included in every booking confirmation email sent to the customer.

What if the customer needs help or can’t register?

If the customer can’t register, needs help with Online Booking or the Converge App, please assist them with any rebooking requests (by rebooking via Phoenix as normal) and ask the customer to lodge a support ticket at convergeinternational.com.au/support/customer so we can resolve any issues.
