Multi factor authentication for Practices

In December 2024, Converge will be implementing multi factor authentication (MFA) for our Phoenix portal, which will result in:

  • A new URL to access the existing Phoenix portal and our new Clinical Governance Portal

  • A new login process, using a verification code from an authenticator application of your choice or SMS if needed.

We’re implementing these changes to ensure our Phoenix portal meets the security requirements of our partners and clients and will also result in better self-service tools to reset your login details when needed.

For Practices, MFA process will be similar to the way you currently access the Phoenix portal - you’ll continue to have separate logins for each clinician’s profile.

 


How it works

If you are a practice manger that signs into each clinician’s profile separately (with Quick View):

  • You’ll continue to have separate login details for each clinician

  • You’ll continue to sign in and out to switch clinician profile

  • You’ll now also need to enter a verification code each time you sign into a clinician profile which will be delivered to you via an Authenticator App of your choosing (which can be installed on multiple smartphones and computers) and as a backup, via SMS to a designated mobile number

  • In some instances where Converge has agreed to, these codes can also be emailed - this requires approval from User Support leadership before being offered

If you are a practice manager that currently has a single login for multiple clinicians (without Quick View):

  • You’ll be transitioned to individual logins for each clinician

  • You’ll benefit from our new Quick View portal with simplified processes for managing customers and their appointments

  • You’ll sign in and out of each clinicians profile to switch clinician

  • You’ll be prompted to enter a verification code each time you sign in to a clinicians' profile which will be delivered via an Authentication App or SMS to a designated mobile number

  • In some instances where Converge has agreed to, these codes can also be emailed - this requires approval from User Support leadership before being offered

What is an Authentication app?

An authentication app allows you to receive the verification code required when logging in to our new MFA portal process. You can use our recommended authentication app or you can use your own preferred one.

Authentication Apps can be installed on smartphones (meaning multiple phones can have the code presented) and can also be installed on some PC and Mac computers.

Our recommended Authentication app is Okta Verify. Once the MFA is setup, the Okta Verify app will present the code to sign in and you can also setup the Okta Verify App on multiple smartphones and some PC and Mac computers.

What happens after MFA is activated?

You’ll continue to use Phoenix however you’ll access Phoenix via the new Converge MFA portal.

 


How to activate MFA for your practice

You can schedule a MFA activation session via the link below. These calls will take around 15-30 minutes to walk you through the MFA process and activate MFA for each clinicians' profile.

During the call we will:

  • Confirm active Clinicians

  • Confirm your MFA code delivery preference (Via an Authenticator App, via SMS or via Email (only if approved))

  • Confirm the new URL to access the MFA portal (to access Phoenix and other Converge apps)

  • Install your preferred MFA authenticator to your device(s)
